Job Summary:

The Customs Brokerage Representative is responsible for handling the daily operational tasks for customs clearance of cross border shipments in compliance with the U.A.E customs regulations and policies. The ideal candidate will be customer-focused and required to develop and maintain relationships with key customers and other government agencies. 

Job Duties:

  • To comply with the customs clearance process in the movement of goods imported and exported into UAE
  • Application of standard clearance procedures applied to all customers in accordance with Customs policies
  • Educate customers on documentation and clearance processes when required
  • Customs declarations and duty invoices to be printed as and when required
  • Advice the departmental supervisors and managers of any process changes related to customs procedures
  • Accurate shipment details to be key entered for clearance purposes
  • Promote excellent relationships with internal and external customers and maintain a positive company image
  • Tariff classification assistance – liaise with controllers and customers to ascertain correct tariff, purpose codes, to eliminate errors that cause penalties
  • Ensuring that the company follows the Codes of Good Practice and is in line with our Customs Accreditation
  • Provide leave coverage as deemed appropriate by the Departmental Supervisors and Managers
  • Fulfill other duties as requested by the Departmental Supervisors and General Manager

Main Accountabilities & Associated Activities:

E – Clearance

  • Declarations to be processed accurately with attention to detail whereby shipment information must be carefully verified prior to submission
  • Invoice line items to be declared with complete descriptions along with the correlating harmonized code
  • Proactively identify clearance requirements for shipments arriving on future dates and resolve them prior to arrival
  • Adhere to and achieve clearance service levels consistently
  • Update KPI reports daily in a timely manner


Customer Contact & Resolutions

  • Key focus on improving Customer Experience with an ability to respond to and resolve customer queries and concerns within the assigned deadlines.
  • First call resolution attitude.
  • Advise clients on import restrictions, tariffs and other customs-related matters in an introductory fashion.
  • Must be able to work in a fast-paced, structured, dynamic and high- transaction environment, with the ability to maintain composure in stressful situations and manage and diffuse angry or upset customers.
  • Ability to multitask between multiple tools, systems and functions within the department and apply information and knowledge to customer situations.
  • Speak intelligently about Customs and general global trade to empower clients and internal stake holders
  • Look for business opportunities, promote sales leads & Brokerage Add on services.
  • Data Capture
  • Import files to be uploaded/downloaded against the correct dates/port codes in a timely manner
  • Update accurate master airway bill and flight details as per the import manifest
  • Coordinate with clearance staff and allocate shipment files for daily clearance and customer contact using the BOSS application

Qualifications and Job Specific Competencies:

  • Must have excellent written and verbal communication skills in English and preferably Arabic
  • Must be capable of preparing presentations and managing complex reports in MS Excel & Access
  • Bachelor’s Degree or Freight Forwarding and Customs Clearance diploma / certification
  • Minimum one year experience in processing customs declarations in Dubai using the E-Mirsal system
  • UAE Driving License a must
  • Must be able to meet deadlines and punctuality
  • Knowledge of GCC customs procedures will be an added advantage
  • Proficient in Microsoft Office – Excel, Access, Word, Power Point, Outlook
  • Must be able to work nights and weekends, variable schedule(s) and overtime as necessary in any of the brokerage offices and locations in UAE.
  • The go-to person for domain content knowledge (classifications, regulations, operational exceptions, etc.)
  • The position requires a candidate with high energy levels, ability to work in a team, excellent attendance record and willing to learn different functions within the operations
